Effective date: 2026-04-19
This Privacy Policy describes how Rick van Hattem, operating Wolph Assistant, handles personal data in connection with the Wolph Assistant application and related services available through wol.ph.
1. Operator
Wolph Assistant is operated by Rick van Hattem. If you have privacy questions, data access requests, or deletion requests, contact [email protected].
2. Scope Of This Policy
This policy applies to the Wolph Assistant service, including the website pages used to describe the service and the application workflows that connect to Google accounts through OAuth.
3. Categories Of Personal Data
Depending on how you use the service, Wolph Assistant may process the following categories of personal data:
- Account and identity information such as your name, email address, and Google account identifier.
- Google Workspace content and metadata that you authorize the service to access, including Gmail messages, drafts, labels, headers, calendar data, event details, free/busy information, Drive files, document content, file metadata, and related activity data.
- Instructions, prompts, requests, and workflow context that you provide to the assistant.
- Operational and security data such as IP addresses, timestamps, authentication events, error logs, and service activity records.
4. Purposes Of Processing
Wolph Assistant processes personal data to:
- Authenticate you and connect your Google account when you choose to do so.
- Provide assistant features across Gmail, Calendar, Drive, Docs, and related workflows.
- Read, summarize, draft, organize, create, update, and send content when you instruct the service to do so.
- Maintain service security, reliability, abuse prevention, debugging, and user support.
- Comply with legal obligations and enforce the Terms of Service.
5. Legal Bases
For users in jurisdictions that require a legal basis for processing, Wolph Assistant generally relies on:
- Your consent, including the consent you give when you authorize Google OAuth access.
- Performance of a contract, where processing is necessary to provide the service you request.
- Legitimate interests, such as protecting the service, preventing abuse, improving reliability, and supporting users, provided those interests are not overridden by your rights.
- Compliance with legal obligations where applicable.
6. Google Data And Workspace Permissions
Wolph Assistant accesses Google account data only after you choose to connect a Google account and grant permissions through Google’s OAuth flow. The service uses that data to provide the assistant features you request. Connected data may include Gmail, Calendar, Drive, Docs, and related Google Workspace content and metadata covered by the permissions you authorize.
Wolph Assistant is designed around transient processing. The service is not intended to maintain a long-lived mirror of your mailbox or workspace content. However, limited temporary processing state, short operational history, cached request context, error logs, and security records may be retained where needed to operate the service safely and reliably.
7. Sharing And Service Providers
Personal data may be processed by service providers that support the operation of Wolph Assistant, such as infrastructure providers, hosting providers, logging and monitoring providers, email delivery providers, authentication-related services, and AI or language-model providers used to process user requests. Data is shared with such providers only to the extent reasonably necessary to operate the service.
Personal data may also be disclosed where required by law, to protect rights and security, or in connection with a business transfer.
8. Retention
Wolph Assistant keeps personal data only for as long as reasonably necessary for the purposes described in this policy, including providing the service, maintaining records needed for security and support, resolving disputes, and complying with legal obligations. Google-connected data processed for assistant responses is intended to be handled transiently, while limited operational logs and account records may be retained longer.
9. Security
Wolph Assistant uses reasonable technical and organizational safeguards intended to protect personal data against unauthorized access, misuse, alteration, and loss. No security measure is perfect, and no method of transmission or storage can be guaranteed to be completely secure.
10. International Processing
Your data may be processed in countries other than your own, including where service providers operate infrastructure. Where required, reasonable steps are intended to be taken to provide an appropriate level of protection for cross-border transfers.
11. Your Rights
Depending on your location, you may have rights to access, correct, delete, restrict, object to, or receive a copy of your personal data, and to withdraw consent where consent is the basis for processing. You may also revoke Google account access through your Google account settings. To exercise rights related to Wolph Assistant, contact [email protected].
12. Deletion And Revocation
You can stop using Wolph Assistant at any time. You can also revoke Google OAuth permissions from your Google account. If you want your Wolph Assistant account records or related retained data deleted, contact [email protected].
13. Children’s Privacy
Wolph Assistant is not directed to children and is not intended for use by individuals who are not legally able to agree to these terms under applicable law.
14. Changes To This Policy
This Privacy Policy may be updated from time to time. The latest version will be posted on this page with a revised effective date.
15. Contact
For privacy questions or requests, contact [email protected].
